Terms & Conditions

1. Service Agreement

These Terms & Conditions constitute a binding agreement between EventFeast (hereinafter "Provider") and the client (hereinafter "Customer") for catering and event services. By booking our services, you agree to be bound by these terms.

2. Booking & Reservation

2.1 Reservation Process

All bookings must be made through our official website or by contacting us directly. A 50% non-refundable deposit is required to secure your event date. The remaining balance is due 7 days before your event.

2.2 Minimum Guest Count

We require a minimum of 20 guests for catering services. For smaller gatherings, please contact us to discuss custom arrangements.

2.3 Booking Confirmation

Once payment is received, you will receive a confirmation email with event details, menu selection, and service terms.

3. Pricing & Payment

3.1 Pricing Structure

All prices are quoted per person unless otherwise stated. Prices include food, service staff, and basic table setup. Additional services (premium bar, rentals, decorations) are billed separately.

3.2 Payment Terms

• 50% deposit required at booking to confirm date
• Remaining 50% due 7 days before event
• We accept credit cards, bank transfers, and checks
• Late payments may result in cancellation

3.3 Price Changes

Prices quoted are valid for 30 days. If your event is more than 60 days away, we reserve the right to adjust pricing based on ingredient costs. You will be notified of any changes.

4. Menu & Customization

4.1 Menu Selection

Customers may choose from our preset menus or request custom menus. Custom menus are subject to availability and may incur additional costs.

4.2 Dietary Requirements

We accommodate vegetarian, vegan, gluten-free, and other dietary requirements. You must notify us of dietary needs at the time of booking. Allergies must be clearly communicated.

4.3 Menu Finalization

Final menu selections must be confirmed 21 days before the event. Changes made within 21 days may incur additional fees or may not be possible.

5. Cancellation & Refunds

5.1 Cancellation Policy

• Cancellations made 60+ days before event: 75% refund of deposit
• Cancellations made 30-59 days before event: 50% refund of deposit
• Cancellations made less than 30 days before event: No refund

5.2 Event Postponement

If you wish to reschedule your event, you must notify us at least 30 days in advance. Rescheduling is subject to availability. A rescheduling fee of $500 may apply.

5.3 Provider Cancellation

EventFeast reserves the right to cancel or reschedule due to unforeseen circumstances (natural disasters, illness, etc.). In such cases, customers will receive a full refund or date change option.

6. Liability & Responsibility

6.1 Food Quality

EventFeast is committed to providing high-quality, fresh food. However, we are not responsible for allergic reactions or food intolerances not previously disclosed.

6.2 Venue Conditions

The customer is responsible for providing a clean, accessible venue with adequate space, electrical outlets, and refrigeration if required. EventFeast is not liable for food quality issues due to inadequate venue conditions.

6.3 Guest Conduct

EventFeast is not responsible for guest conduct or damage caused by guests. The customer is liable for any damages to EventFeast staff, equipment, or property caused by guests.

6.4 Liability Limitation

EventFeast's maximum liability is limited to the amount paid for services. We are not responsible for indirect, incidental, or consequential damages.

7. Service Delivery

7.1 Staffing

The number of staff provided depends on guest count and service type. Standard staffing is 1 staff member per 15 guests. Additional staff can be requested for an extra fee.

7.2 Arrival & Setup

Our team will arrive 1-2 hours before your event for setup. Exact timing will be confirmed in your event agreement. You must ensure venue access is available.

7.3 Service Time

Standard service includes 4 hours of on-site service. Additional service time is available at $50/hour. Service hours must be finalized 14 days before the event.

7.4 Cleanup

Basic cleanup is included in our service. This includes removing food, dishes, and decorations we provided. Extensive cleanup may incur additional fees.

8. Guest Count Changes

8.1 Final Headcount

Final guest count must be confirmed 14 days before the event. You will be billed for the confirmed number or actual attendance, whichever is greater.

8.2 Undercount Provisions

If the final confirmed count is 25 people but only 20 attend, you will still be charged for 25 people. This is because we prepare and purchase food based on the confirmed number.

8.3 Last-Minute Increases

If you require additional guests within 14 days of the event, we will attempt to accommodate them at current pricing, subject to availability.

9. Photography & Marketing

EventFeast reserves the right to photograph your event for marketing purposes. By booking, you consent to photos being used on our website and social media. If you wish to opt out, please notify us in writing.

10. Intellectual Property

All EventFeast recipes, menus, and service methods are proprietary. You may not reproduce, distribute, or modify our content without permission.

11. Governing Law

These Terms & Conditions are governed by the laws of Gujarat, India. Any disputes shall be resolved through binding arbitration or court proceedings in Surat, Gujarat.

12. Changes to Terms

EventFeast reserves the right to modify these Terms & Conditions at any time. Changes will be effective upon posting to our website. Continued use of our services indicates acceptance of updated terms.
